Privacy statement

Introduction
InternetNZ is strongly committed to protecting personal information. This privacy statement explains how InternetNZ handles personal information and complies with the requirements of the Privacy Act 2020 ("Privacy Act").
The statement describes how InternetNZ collects, stores, uses and shares personal information when we are engaging with the public, including managing our enquiries function, managing our membership, managing accounts, receiving applications and enquiries for grants and funding, receiving submissions or other public consultations, and otherwise engaging with the community through our website or communications activities (such as events and newsletters).
If you cannot find the information you require in this privacy statement or you have any privacy concerns about the way in which InternetNZ manages your personal information, then please contact us via email privacy@internetnz.net.nz.
1. Collection of personal information
1.1 InternetNZ collects, holds and processes personal information from its members, suppliers, employees, InternetNZ Board Members, job applicants, contractors and other individuals. We collect and hold this information in order to deliver our services to you.
1.2 InternetNZ collects personal information directly from you when you access our services or engage with us, for example when, you sign up to be a member of InternetNZ or use the membership login page.
1.3 Depending on the service we are providing, the information we may collect when you engage with us includes:

- your name and contact details
- demographic information that you provide to us
- any correspondence with InternetNZ staff
- details of any events you have registered for, including dietary or other specific requirements
- survey results and responses, when you participate in any of our surveys
- your comments and contributions on any of our forums
- your submissions on public consultations led by InternetNZ
- your credit card number, name on your card, expiry date and card verification code (Note: InternetNZ does not store full credit card details. These are captured directly by an ecommerce gateway provider, which will only deal with your personal information in accordance with the Privacy Act. In circumstances where a person wishes to make a payment directly through InternetNZ, we ensure that no credit card details are stored by us.)

1.5 We also collect the following information about your use of our website (though please note we make no efforts to associate this with your identity):
- your IP address
- the search terms you used
- the pages you accessed on our website and the links you clicked on
- the date and time you visited the site
- the referring site (if any) through which you clicked to our website
- your operating system (such as Windows 10)
- the type of web browser you use (such as Mozilla Firefox).
1.6 To track and analyse website usage so as to obtain the information referred to in paragraph 1.5, we use tracking cookies through Google Analytics. If you prefer, you can opt out of the Google Analytics tracking cookies. This will not affect your ability to use our site. Our web analytics will also respect any “do not track” setting that you may already have on your browser. You can opt out of the Google Analytics tool by using the plugin available here: https://tools.google.com/dlpage/gaoptout.
1.7 InternetNZ uses cookies on its website; specifically:
- Persistent Drupal cookies to manage logins.
- Persistent Hubspot cookies to manage contacts.
- Persistent Google cookies to manage analytics as described above.
- Persistent Cloudflare cookies to manage website security.
2. Using your personal Information
2.1 The primary purposes for which InternetNZ collects, holds and processes personal information are:
- purposes of delivering the services you have requested (such as registering you for an event, processing your submission, processing and managing your membership or account with us, or sending you newsletters)
- to respond to an individual’s request or enquiry
- for recruitment purposes
- for general management and reporting purposes, such as maintaining a register of members and invoicing and account management
- improve our website and the delivery of our online services
- conduct internal statistical analysis
- complying with any requirements of law or regulation.
2.2 If you choose not to provide us with personal information which we have requested from you, we may be unable to fulfil any of the above purposes, including providing professional services to you, responding to your requests, paying your invoices or processing your application for employment.
2.3 We may collect, hold and use personal information about individuals to market our services, including by email. However, individuals always have the opportunity to elect not to receive further marketing information from us by writing to office@internetnz.net.nz or using any unsubscribe function (if provided).
2.4 If we collect, hold or use personal information in ways other than as stated in this statement, we will ensure we do so pursuant to the requirements of the Privacy Act.
3. Disclosure of personal information
3.1 InternetNZ does not disclose personal information unless:
- disclosure is permitted by this statement;
- we believe it is necessary to provide you with a service which you have requested;
- you make a submission to us as part of a public consultation process, we are likely to publish your submission as a standard part of the consultation process
- requested by you;
- you give your consent; or
- such disclosure is otherwise required or permitted by law or regulation.
3.2 We may also share non-personal, de-identified and aggregated information for research or promotional purposes.
4. Third party providers
Third party service providers
4.1 We use some trusted third party providers to manage some of our engagement processes and services, such as newsletters and events registration. Where we do this, any personal information you provide (such as your email address) may also be collected, used and stored by this provider. We do not authorise third parties to use or disclose your personal information except for the purpose of providing the service we request from them. All third parties, which we disclose your personal information to, are subject to obligations under the New Zealand Privacy Act 2020 to protect your information from unauthorised use or disclosure.
Social networking services
4.2 We use social networks such as X, Facebook, and LinkedIn to communicate with the public about our work. When you communicate with us using these services, the social networking service may collect your personal information for its own purposes.
4.3 We use widgets (or icons) from ShareThis which facilitates the sharing of pages/links from our website across various social networks, including Facebook, X and LinkedIn. These services may track your use of our website on those pages where their widgets (or icons) are displayed. If you are logged in to those services (including any Google service) while using our site, their tracking will be associated with your profile with them. You may configure how these social networks utilise your profile in the settings of those social networks, which prevents InternetNZ from having access to your profile information. In any case, we access but do not store or manage this profile information provided by these social networks.
4.4 Social network services have their own privacy statements which are independent of ours. They do not have any access to the personal information we hold on our systems.
5. Storage and security
Storage
5.1 We store your personal information we collect from you in accordance with our obligations under the Privacy Act and take reasonable steps to ensure the security of your personal information.
5.2 We may use third party providers to store and process our data. We store most of the personal information we collect and generate electronically on Amazon AWS servers located in Sydney, Australia. We use Google services for our email and other specialist tools for office productivity. We also use hubspot and Cloudflare services. This means that the personal information we hold may be transferred to, or accessed from, countries other than New Zealand.
Security
5.3 We take all reasonable steps to ensure the personal information we collect is protected against loss, unauthorised access and disclosure or any other misuse.
5.4 We ensure that our third party data processors can meet our privacy and security requirements.
6. Retention
6.1 We retain personal information for as long as is necessary for the purpose for which it was collected and in accordance with our Constitution and internal policies. Personal information may be held for longer periods where extended retention periods are required by law or regulation and as necessary in order to defend our legal rights.
7. Your privacy rights
7.1 You have the right to request access to and correct any personal information we hold about you at any time by contacting us using the contact information below.
7.2 You have the right to request a copy of the personal information we hold about you. When any such request is received, we will process your request as soon as possible. We will also take steps to verify your identity before providing you with any requested personal information. We will provide access to personal information upon request by an individual, except in the limited circumstances in which it is permitted for us to withhold this information.

9. Effect of and changes to this Privacy Statement
9.1 We may update this privacy statement at any time by publishing an updated version here.
9.2 So you know when we make changes to this privacy statement, we will amend the revision date at the top of this statement. The newly amended privacy statement will apply from that revision date. Therefore, we encourage you to review this privacy statement periodically to stay informed about how we are protecting your information. Any amended statement will apply whether or not we have given you specific notice of any change
